  Adding the Church directory to the Palm

One of the greatest things I have used my Palm for is to keep track of people's addresses and phone numbers. This way when I am doing visitation I have their number and address right there with me. Or if someone gets hurt on a youth event I have all their parent's numbers.

Let me offer a little tip on how to get the entire Church into your palm really fast. I am going to begin with the assumption that you have a Church Directory and that this directory is in your spreadsheet program (if it isn't, I highly recommend you have your secretary convert it which will allow you do a mail merge to send out letters and even quickly format and update your Church Directory)

  • Step 1: Load your Church Directory into your Spreadsheet Program (I am using Corel Quatra Pro)

  • Step 2: Click on Save As (usually in the file menu just below Save)

  • Step 3: In the Save As window you will be asked for a filename (enter ChurchDir.txt) underneathe that will be a list of File types (choose ASCII text "Tab Deliminated")

  • Step 4: Open the Palm Desktop Program and click on the Address Book

  • Step 5: Click on the File menu at the top of the screen and then choose "Import" from the options it gives.

  • Step 6: Under "Files of type" (which is right below "File name" choose "Tab Seperated Valued"

  • Step 7: Find your file you just made called "ChurchDir.txt", select it and open it by clicking the open button

  • Step 8: On the right will be a list of what your Church Directory looks like, on the left will be a list of fields that you want. Uncheck all the boxes that you don't want and leave all the boxes checked that you want. So if you have a first name in the Directory leave first name checked, if a last name then leave it checked, etc.

  • Step 9: Now you need to make the two lists match up in regards to order. For instance, if the address is on the third line on the right side but it is way down on the 9th line on the left. Just click on the word "Address" on the left, hold the mouse button down and drag it up to the thrid line.

  • Step 10: Click "Okay" and your all done. Check make sure it works and have fun!


For those who cannot save their document as "Tab Deliminated" try "Comma Deliminated" or "Address Archive" (*.ada) or "CSV Lotus Organizer 2x/97 mapping".

Another tip, you can repeat a similiar process with your address book in your Email program by exporting to a comma or tab deliminated format.
